What personal data we collect and why we collect it
For the user registration data we collect name, address, phone number and email. This is used for the auto-population of orchid registration data later on. We also use these data in order to contact you regarding your registration. We do not collect this data for sales or marketing purposes and the data is not sold to third parties.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

We collect this information only to make the site easier to use and to allow you to contact us with questions regarding your registrations. The data is not sold or marketed to third parties.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Who we share your data with
Your data will be shared with Orchid Wiz in order to maintain a comprehensive search database of orchid registrations. It will also be offered to the RHS to amend their orchid registrations. It will also be published in the Journal of the International Odontoglossom Alliance.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Registrations will be published in the Journal of the International Odontoglossum Alliance, personally identifiable information will not be published through the Journal.
The registration data will be provided to The Orchid Wiz Corporation to enable them to provide a comprehensive search capability in that tool.
Registrations will also be provided to the RHS at Kew.
Visitor comments may be checked through an automated spam detection service.
Your contact information
Your contact information will be provided to The Orchid Wiz Corporation as part of the interchange of registration data in the instance you register an orchid hybrid.

Additional information
No additional information will be provided to third parties. The ISP will monitor site traffic which is used for our own analysis.
How we protect your data
Our site is monitored by SiteLock for MalWare and Intrusion into our the site and databases.
What data breach procedures we have in place
We use a third party monitoring service that regularly scans our systems for intrusion activity. If at any time an intrusion is detected users will be notified.

What automated decision making and/or profiling we do with user data
Our system automatically verifies data regarding orchid hybrids, there is no attempt made to correlate or profile users based on this data.
